Position Overview:

As our Retail Development Coordinator, you will provide administrative support for the Retail Development Team and assist in brand design and construction programs process including but not limited to scheduling necessary visits, collaboration with relevant departments, collecting documents from Brands, and obtaining approvals.​


Responsibilities:

Brand Design & Construction Works

  • Arrange Brand visits, support briefings, supply information and standards relating to Brand design and construction

  • Schedule and participate in Brand visits in coordination with other departments, including note-taking, reporting and follow-up

  • Schedule, co-ordinate and provide feedback for Brand design and construction programs and timelines

  • Develop, implement and facilitate an efficient communication system with Brand partners

  • Develop, implement and facilitate an efficient internal communication system with internal cross-functional departments

  • Communicate with related departments concerning Brand related issues, e.g., timing, changes, etc.

  • Manage information flow between Retail Development team and consultants including scheduling appointments, coordinating drawing reviews and submittals, budgeting and billing

  • Monitor Brand construction progress on site against approved designs and timelines

  • Liaise with leasing and legal teams on all issues relating to Brand design and construction

  • Collaborate, in-person and virtually, with colleagues in the US and Europe to share information and to align approaches

  • Ensure that Brands comply with VR requirements related to their design and construction, e.g., insurance, permits, payments. Collect and review submittals for compliance

  • Ensure proper and complete information is issued by the Brand to VR for review and approval, e.g., drawings, renderings, samples, etc.

  • Ensure timely delivery of VR approvals to Brands

  • Develop and manage comprehensive mulit-project tracking tools for the Retail Development team and coordinate with related teams to provide timely and accurate information relating to Brand design and construction.

  • Create feasibility studies for white box units, unit reconfigurations, kiosks, etc. as needed

  • Provide administrative support to VP Retail Development and Retail Development team

Special Projects

  • Create design proposals for special projects to be further developed by external consultants and follow the projects through to completion

  • Standardize and manage all VR protocols, e.g., new supplier registration, internal approval documentation, etc.

  • Manage the Retail Development budget, facilitate consultant and supplier contracts and payments, and archive documents accordingly

  • Assist in planning and organizing the office space and public support spaces in the Village

Other duties as assigned


Qualifications:

  • Minimum 2 years of related experience or equivalent combination of education and experience

  • Proficiency in AutoCAD, PowerPoint, and Excel required

  • Proficiency in BIM systems, Adobe Creative Suite, and 3D software highly desired

  • Ability to communicate fluently, effectively, and confidently at all levels

  • Self-starter, organized, disciplined, deadline-driven, trustworthy, responsible, and able to effectively manage multiple projects and simultaneous deadlines

  • Architecture, interior design, or industrial design background preferred

  • Ability to conduct design, construction, and building code research and organize and present findings

  • Familiarity with construction works is a plus

  • Ability to travel to Villages in Europe if needed
